# CATERING SERVICES AGREEMENT

Date: 11 July 2029

Parties: Stone & Sable Catering Ltd and Northmoor Conference Services Ltd

## 1. Parties and purpose

Stone & Sable Catering Ltd (Company No. 10983642) will cater Northmoor Conference Services Ltd’s dinner at The Assembly Rooms, 4 King’s Parade, Cambridge CB2 1SJ on 28 September 2029. Access starts at 10:00; canapés run 18:00–18:45 and the three-course dinner begins at 19:00.

## 2. Scope, price and subject

The agreed minimum is 120 covers at £58 per person plus VAT, with final numbers confirmed seven days before service. The menu is listed in Schedule 1: seasonal fish, vegetarian risotto and vegan alternative, with allergen matrix and dietary substitutions supplied to Northmoor before printing.

## 3. Operating duties

Stone & Sable provides one event manager, one head chef, two sous-chefs and six waiting staff, all trained for their duties. It supplies crockery, glassware, cutlery and linen, removes its waste and leaves the kitchen clean. Northmoor provides safe venue access and confirms the venue’s alcohol licence.

## 4. Compliance, records and controls

The caterer maintains a documented food-safety management system, allergen controls under applicable food-information law and a current food-hygiene rating. It must notify Northmoor immediately of a suspected contamination or allergen incident and preserve relevant batch and temperature records.

## 5. Term, ending and remedies

The contract sum is £6,960 plus VAT: £1,740 deposit on signing, £3,480 by 28 August and the balance seven days before the event. Additional approved equipment or extra covers are charged at the Schedule 2 rates. Northmoor pays invoices by BACS within seven days.

## 6. Liability and reservations

Cancellation more than 30 days before service forfeits the deposit; 14–30 days costs 50% of the contract sum and under 14 days costs 100%, reduced by avoidable savings. A force-majeure postponement may be rebooked within six months subject to availability. Each party holds appropriate public-liability insurance and the caterer maintains employer’s liability insurance.

## 7. Governing law and signatures

English law governs. Stone & Sable’s director Eva Morgan and Northmoor’s authorised manager Calum Price sign on 11 July 2029. Neither party may describe the menu as allergen-free; dietary information is managed carefully but cross-contact cannot be promised impossible to occur.
