# CONFLICT OF INTEREST DECLARATION

Date: 15 November 2029

Parties: Sophie Bennett and Eastmere Housing Association

## 1. Status of this document

I, Sophie Bennett, Procurement Manager at Eastmere Housing Association, 22 Priory Street, York YO1 6ER, make this declaration under the Association's code of conduct. It is an open declaration to HR and the Company Secretary, not a finding of wrongdoing.

## 2. Parties and subject

My spouse, Daniel Bennett, is a director and 40% shareholder of Greenline Building Services Limited, which intends to bid for Eastmere's roof-repair framework. I have no ownership in Greenline, but the relationship could reasonably appear to influence my procurement work.

## 3. Facts and request

I will not prepare the specification, score Greenline, approve its appointment, negotiate its rates or access competitor bids. The Head of Development, Imogen Clarke, will chair the evaluation panel, and procurement will be independently reviewed.

## 4. Evidence and checks

I will disclose any contact about the tender, return confidential material, and not use Eastmere information for Daniel or Greenline. HR will record this declaration in the conflict register with restricted access and will tell relevant decision-makers only what they need to manage the conflict.

## 5. Procedure and deadline

I have declared no other directorship, shareholding, gift or outside interest relevant to my role. I will notify HR within five working days of a material change, including a new tender, financial interest, gift or change in my spouse's role.

## 6. Rights and remedies

Eastmere may review the controls, vary the reporting line or require further recusal. Failure to disclose or deliberate misuse of confidential information may be dealt with under the disciplinary procedure; an honest declaration is not itself misconduct.

## 7. Records and signature

I confirm the information is accurate to the best of my knowledge on 15 November 2029 and will renew it at the annual review. England and Wales law and Eastmere's policies apply; Sophie signs and her line manager acknowledges receipt.
