# SAMPLE DEPOSIT DEDUCTION LETTER
Date: 20 February 2029
Parties: Harbour Homes Limited and Aisha Rahman
## 1. Status of this document
Harbour Homes Limited writes to former tenant Aisha Rahman about Flat 6, 22 Meadow Lane, Bristol BS7 0QJ, following the tenancy ending on 31 January 2029. The £1,350 deposit was protected with Northbank Deposits.
## 2. Parties and subject
The proposed deductions are £180 for a broken internal door, £95 for rubbish removal and £120 for cleaning beyond fair wear and tear. The check-in and check-out reports, photographs and invoices are enclosed.
## 3. Facts and request
Harbour has obtained the lowest reasonable contractor quote and has not included an upgrade, its own unproved time or rent that was not due. Aisha will receive the undisputed balance of £955 by bank transfer.
## 4. Checks and evidence
Aisha may provide evidence that damage pre-dated the tenancy, resulted from fair wear and tear or was repaired herself. Harbour will consider her response and will not treat silence as agreement.
## 5. Procedure and deadline
Please reply within 14 days with a forwarding address and bank details. If the parties cannot agree, either may use the deposit scheme's alternative dispute resolution service, preserving any court rights and deadlines.
## 6. Rights and remedies
This letter does not determine liability and does not authorise a further charge. Harbour will keep personal data and inspection records only for administration, dispute resolution and legal obligations.
## 7. Records and signature
The letter is sent by first-class post and email as separate notice methods. Daniel Price signs for Harbour on 20 February 2029 and records the transfer once the deduction position is agreed.
