# EMPLOYEE BENEFITS POLICY

Date: 15 September 2025

Parties: Employer: Calder Digital Ltd, 80 Wellington Street, Sheffield S1 4HX. Policy owner: HR Director Naomi Green. Applies to employees of Calder Digital Ltd from 1 October 2025.

## 1. Purpose and status

This policy records Calder Digital's benefits framework from 1 October 2025. It is guidance unless a benefit is expressly incorporated into an employment contract; the contract, provider rules and applicable law prevail. HR will consult affected employees where a change requires consultation and will not use this policy to predetermine any individual process or outcome.

## 2. Core benefits

Subject to scheme rules, eligible employees may receive employer pension contributions of 5% of pensionable salary alongside the employee contribution required by the auto-enrolment scheme; 25 days' annual leave plus bank holidays pro-rated for hours; group life assurance of twice basic salary; and an employee assistance service. Tax treatment and insurance acceptance are determined by current law and providers.

## 3. Health and wellbeing support

After three months' continuous employment, employees may apply for the company-funded health assessment and a wellbeing allowance of up to £300 per benefit year, reimbursed against receipts for approved ergonomic equipment, counselling or exercise. Approval is not automatic, reasonable adjustments remain considered separately, and medical information is handled confidentially with consent.

## 4. Eligibility, leave and flexible work

Permanent and fixed-term employees may be eligible according to each provider's rules; agency workers, contractors and consultants are not employees for this policy. Part-time benefits are normally pro-rated where lawful. Requests for annual leave, family-related leave, sickness absence and flexible working are handled under the relevant current policy and legislation; no entitlement or approval is predetermined here.

## 5. Administration, review and acknowledgement

Employees should contact HR by 30 September 2025 for enrolment information and report a life or working-hours change promptly. HR will review this policy on 1 September each year and may amend or withdraw benefits with appropriate notice and any required consultation. Questions or complaints go first to HR, without limiting statutory grievance, appeal or tribunal rights. Naomi Green approved and signed this policy for Calder Digital Ltd on 15 September 2025.
