## 1. Purpose and parties

This handbook applies to Northmoor employees in England and Wales and is issued with the statement of employment particulars. It is a practical guide, not a replacement for an individual contract. Sections expressly marked contractual are incorporated only to the extent the contract says so; policies marked guidance may be amended after consultation.

## 2. Facts, scope and terms

Employees must act lawfully, protect confidential information, declare conflicts and treat colleagues with dignity. Discrimination, bullying, harassment, bribery and retaliation are prohibited. A concern may be raised through the speak-up or grievance route without loss of protection for a good-faith report.

## 3. Process and responsibilities

Normal pay dates, pension enrolment, holiday booking, family leave and sickness reporting follow the contract and statutory rules. Absence evidence will be proportionate; disability-related adjustments and a safe return-to-work discussion are available. No handbook wording authorises an unlawful deduction or removes minimum wage or working-time rights.

## 4. Evidence, records and safeguards

The disciplinary and grievance procedures are non-contractual guidance unless a signed contract states otherwise. Investigation, notice of a hearing, reasonable opportunity to respond, accompaniment rights where applicable and appeal will be handled fairly. Gross misconduct may justify dismissal, subject to a reasonable process.

## 5. Review, escalation and outcome

Health and safety duties include following risk assessments, reporting hazards, using equipment safely and attending required training. IT use must respect security controls, acceptable use and monitoring information in the staff privacy notice. Monitoring will have a lawful purpose and be proportionate.

## 6. Reservations and practical protections

Managers must not promise a policy outcome, vary pay or dismiss informally. HR keeps version records and will explain any change, consultation and effective date. Employees can ask for an accessible copy, raise a conflict between this handbook and their contract, or request a reasonable adjustment.

## 7. England and Wales law and completion

England and Wales law applies. Statutory equality, holiday, family leave, whistleblowing, health and safety and employment rights prevail over any inconsistent guidance. The board approves version 4.0 on 17 October 2030.
