# EMPLOYEE WELLNESS POLICY

Parties: Elmbridge Software Limited and its employees

## 1. Purpose and parties

Elmbridge Software Limited promotes physical, mental and financial wellbeing through voluntary support, without measuring commitment by attendance at wellness activities. The policy applies to employees and managers and complements, but does not replace, health-and-safety, sickness, safeguarding and Equality Act obligations.

## 2. Facts, scope and terms

Support includes an independent Employee Assistance Programme, occupational-health referral with consent, a quiet room, flexible working discussions, financial-education sessions and subsidised activity. No employee must disclose a diagnosis or join a class, and managers must not promise a clinical outcome.

## 3. Process and responsibilities

Managers should check in respectfully, ask what adjustment or signposting would help, and refer urgent risk through the safeguarding or emergency route. They must not diagnose, investigate private health matters or treat use of support as evidence of poor performance.

## 4. Evidence, records and safeguards

Health and wellbeing information is handled under the privacy notice, with special-category data restricted to authorised HR or healthcare professionals. Anonymous participation statistics may be reported, but individual attendance, diagnosis or counselling content is not shared with managers without a lawful basis.

## 5. Review, escalation and outcome

Flexible working, workload review and reasonable adjustments are considered individually and documented only as necessary. Absence and performance procedures remain fair and separate; a wellness resource cannot be used to bypass consultation, medical advice or disciplinary safeguards.

## 6. Reservations and practical protections

The programme budget and providers are reviewed annually. Employees may give confidential feedback, raise discrimination or privacy concerns through HR or the grievance process and may use external health services. This policy does not guarantee a benefit, treatment, promotion or absence outcome.

## 7. England and Wales law and completion

Elmbridge approves this non-contractual policy on 18 September 2031 under England and Wales law. It may change or withdraw a resource after consultation and will give reasonable notice where practicable; statutory and contractual rights continue.
