## 1. Purpose and parties
Harbour Forum Ltd gives this notice on 10 May 2034 concerning the Harbour Innovation Conference scheduled for 14–16 June 2034 at Cardiff Bay Convention Centre. A structural safety issue identified by the venue on 8 May means the premises cannot safely host 600 attendees, 40 exhibitors and 18 suppliers on those dates, and no suitable replacement venue is available.
## 2. Facts, scope and terms
The conference is cancelled rather than postponed. Harbour Forum has stopped ticket sales, notified the venue and contractors, and retained the inspection report and cancellation log. This notice is not an admission of negligence or a waiver of any contractual right; each contract will be assessed on its wording and the applicable law.
## 3. Process and responsibilities
Each paid attendee will receive a full ticket refund: the standard ticket price is £180 and the student price is £90. Refunds will be sent to the original payment method within 14 days, by 24 May, without requiring a new purchase. An attendee who has not received the refund by 31 May should email refunds@harbourforum.example with booking number HF34- and avoid sending full card details.
## 4. Evidence, records and safeguards
Exhibitors will receive their £650 stand fee and any unused £120 electricity fee in full within 14 days. Suppliers should submit an invoice for properly incurred, non-refundable preparation costs by 24 May; Harbour Forum will review those claims against the relevant purchase order and will not charge cancellation fees that the contract does not permit.
## 5. Review, escalation and outcome
No attendee should travel to the venue, and tickets cannot be transferred to another event. Customers who independently booked hotels or travel must contact those providers and check their own insurance. Harbour Forum will not promise recovery of consequential travel costs, but will provide the venue notice and payment confirmation reasonably needed for an insurance claim.
## 6. Reservations and practical protections
The organiser will delete unused marketing mailing data within 30 days, retain refund and accounting records for seven years where required, and handle contact details under UK GDPR. People with access needs may request the notice in an accessible format at access@harbourforum.example; complaints about a refund will be acknowledged within five working days.
## 7. England and Wales law and completion
This completed fictional notice is governed by England and Wales law and does not limit statutory consumer rights, card-provider remedies or a party's right to challenge a charge. Harbour Forum apologises for the disruption and will publish a final refund reconciliation on 7 June 2034, showing 600 attendee refunds and the separate exhibitor and supplier payments.
