# EXAMPLE: HEALTH AND SAFETY POLICY

Date: 5 February 2028

Parties: Fenland Logistics Limited and its workforce

## 1. Purpose

Fenland will provide a safe workplace, safe systems and suitable welfare facilities so far as reasonably practicable. This policy covers the Peterborough warehouse, drivers, visitors, home workers and agency staff.

## 2. Scope

The Operations Director owns risk assessments for vehicle movement, racking, manual handling, hazardous substances and lone work. Controls are reviewed after an incident, near miss, equipment change or pregnancy notification.

## 3. Responsibilities

Forklift routes are separated from pedestrian lanes, high-visibility clothing is mandatory on the loading floor and loads above 15 kilograms require the approved handling aid or a two-person lift.

## 4. Policy-specific rules

Employees must attend induction, wear issued PPE, follow the loading checklist and stop work where there is a serious and imminent danger. Supervisors must never pressure a person to bypass a control.

## 5. Reporting

An injury, near miss, unsafe condition or work-related ill health is reported to the shift supervisor before the end of the shift and entered in the incident system. The Health and Safety Manager investigates and assesses any RIDDOR report.

## 6. Process

Safety representatives are consulted monthly and may inspect the workplace. The company provides occupational health support, reasonable adjustments and a safe return plan; emergency arrangements are practised every six months.

## 7. Review and approval

The board receives a monthly dashboard of incidents, training and corrective actions. The Health and Safety Manager reviews this policy every February, publishes responsibilities and escalates overdue controls without waiting for the annual review.
