# RETIREMENT NOTICE LETTER

Date: 3 September 2031

Parties: Margaret Ellis and Alderbrook Council Services

## 1. Purpose and parties

Margaret Ellis gives Alderbrook Council Services notice that she intends voluntarily to retire from her Senior Archivist role on 31 December 2031. This is her personal decision after financial planning; it is not a response to an employer-imposed retirement age, and she asks the employer not to infer a date from her age.

## 2. Facts, scope and terms

Her contract requires three months' notice, which this letter gives, subject to HR confirming the calculation. Margaret proposes a handover timetable, completion of the catalogue project and annual-leave dates, but remains willing to discuss a different last day by written agreement.

## 3. Process and responsibilities

Alderbrook will confirm final salary, accrued holiday, pension-administrator steps, death-in-service cover and any equipment return. Margaret will obtain independent pension and tax advice; the employer does not advise that retirement, phased work or a pension commencement date is financially suitable.

## 4. Evidence, records and safeguards

The parties may discuss flexible retirement or a later re-engagement on a new contract, but neither is promised and any new arrangement would be assessed without age discrimination. Recruitment, performance and capability decisions remain evidence-based and separate from this notice.

## 5. Review, escalation and outcome

HR will record the resignation securely, provide a P45 at the appropriate time and preserve a factual reference request. Colleagues will be told only the agreed operational information. Margaret may ask for a reasonable adjustment to the exit meeting or handover.

## 6. Reservations and practical protections

This notice does not waive accrued pay, pension, equality, whistleblowing or other statutory rights. Margaret may withdraw it only if Alderbrook agrees; she asks for written acknowledgement and a named contact for pension administration.

## 7. England and Wales law and completion

England and Wales employment law applies. The notice is signed on 3 September 2031 and delivered by hand and email as separate permitted methods. It records a voluntary retirement decision, not a compulsory retirement direction.
