# RIGHT TO RENT CHECK NOTICE

## 1. Purpose and parties

Larchfield Lettings Limited sends Elena Rossi this notice before considering her application for 22 King Street. The notice explains that a landlord or agent must complete the prescribed right-to-rent check for every adult occupier before the tenancy begins, using the applicable document or Home Office online route.

## 2. Facts, scope and terms

Elena may present a permitted original document or share code. Larchfield will check the document or online result in the prescribed way, record the date, checker and outcome, retain a clear copy securely and diarise any follow-up check for time-limited permission. Elena's declaration alone is not a statutory excuse.

## 3. Process and responsibilities

The agency will apply the same process to all prospective adult occupiers and will not demand a passport from someone entitled to use another prescribed route, make assumptions from accent or nationality, or select applicants because of race. A problem with a check will be explained and Elena will have a fair opportunity to clarify it.

## 4. Evidence, records and safeguards

Elena provides her name, date of birth and share code through the secure portal. Larchfield records only what the scheme requires, keeps it during the tenancy and for the statutory post-termination period, restricts access and gives privacy information. It will not circulate immigration evidence to unrelated applicants.

## 5. Review, escalation and outcome

If the online service produces a positive result with an expiry date, Larchfield will complete the follow-up check at the required time. If it cannot establish a right to rent, the agent may not allow the tenancy to begin and will explain the decision and any appropriate Home Office verification route. The notice is not immigration advice.

## 6. Reservations and practical protections

The check does not grant immigration permission, decide nationality or guarantee a tenancy. Elena may ask for reasonable communication adjustments and may complain about discriminatory treatment. Larchfield will correct an inaccurate record and will not treat a pending clarification as proof of dishonesty.

## 7. England and Wales law and completion

The Immigration Act 2014 scheme and England and Wales law apply. This notice is dated 6 June 2031 and is delivered by secure portal and post as separate permitted methods. Larchfield's checker signs the record; Elena's signature confirms receipt, not an admission about her status.
