# SAMPLE SERVICE CHARGE DISPUTE LETTER

Date: 15 January 2029

Parties: Hannah Cole and Riverside Estates Limited

## 1. Status of this document

This letter records Hannah Cole's dispute, not an admission of the £1,864.20 demanded by Riverside for Flat 12, Riverside Court, Birmingham B1 2AA. Hannah remains willing to pay sums properly due under her lease.

## 2. Parties and subject

The invoice dated 3 January 2029 includes £740 for roof works, £310 for concierge services and a £96 administration charge. Hannah says the roof item is unsupported and the concierge cost was not explained in the budget.

## 3. Facts and request

She requests the relevant service-charge accounts, invoices, contracts, insurance schedule, reserve-fund statement and any section 20 consultation notices. The managing agent should identify the lease clauses relied on and explain apportionment.

## 4. Checks and evidence

Hannah has paid £1,050 on account by standing order and asks Riverside to keep collection action on hold while the documents are reviewed. She does not waive limitation, reasonableness or tribunal rights by making that request.

## 5. Procedure and deadline

Please acknowledge within seven days and provide the records within 21 days, or explain any lawful reason for withholding them. If the account is corrected, Riverside should issue a revised demand and credit the overpayment.

## 6. Rights and remedies

The letter is sent by first-class post and email as separate permitted methods to the addresses in the lease. Hannah reserves the right to seek a determination from the First-tier Tribunal (Property Chamber) or other remedy.

## 7. Records and signature

Hannah signs and keeps the invoice, payment confirmation and photographs of the roof works. The complaint is intended to resolve the accounting issue without prejudicing either party's position under the lease or statute.
