# EXAMPLE: SOCIAL MEDIA POLICY

Parties: Hearth & Field Retail Limited and its employees
## 1. Purpose
This policy governs work-related social media and personal posts that identify Hearth & Field, its customers or colleagues. It respects lawful private expression and is non-contractual unless expressly incorporated.
## 2. Scope
Only the Communications Team may publish from @HearthAndField or issue a corporate statement. An employee must obtain written approval before using the brand, photographs of a store or a customer testimonial.
## 3. Responsibilities
Employees must label paid partnerships, protect confidential launches and personal data, check claims about allergens and sustainability, and correct a material error promptly. Passwords and two-factor authentication are mandatory.
## 4. Policy-specific rules
Do not harass, threaten, discriminate against or impersonate another person. A disclaimer that views are personal does not excuse breach of confidentiality, defamation, copyright or the Equality Act 2010.
## 5. Reporting
A suspected account compromise, harmful disclosure or post involving a minor is reported immediately to Communications and Information Security; do not delete evidence unless instructed. Media enquiries go to the Press Officer.
## 6. Process
Managers refer alleged misconduct to a fair disciplinary process, considering context, audience, reach and any reasonable adjustment. Monitoring is proportionate, transparent and limited to public or company-controlled material described in the privacy notice.
## 7. Review and approval
The Communications Director reviews this policy every April with the staff forum. Questions go to the Press Officer, concerns may use the grievance or whistleblowing channels, and lawful protected disclosures remain protected.
