# COMPANY VEHICLE AND FLEET POLICY AGREEMENT

Parties: Acme Logistics Limited and Daniel Okafor
## 1. Parties and purpose
Acme Logistics Limited (Company No. 12345678) of 80 Meridian Way, Milton Keynes MK9 1AA provides Daniel Okafor, Regional Distribution Manager, with a 2028 electric estate car, registration FX28 ACD, for business travel, commuting and reasonable private use in the UK. The vehicle remains Acme's property and is allocated subject to this policy and the employment contract.
## 2. Scope, price and subject
Daniel must hold a valid driving licence, consent to DVLA licence checks on appointment and annually, complete the fleet safety briefing, and tell Acme within 24 hours of any endorsement, suspension, medical restriction or loss of licence. Only Daniel and an Acme-approved additional driver may drive; hire, reward, racing, towing and overseas travel require prior written approval.
## 3. Operating duties
Acme maintains comprehensive insurance, vehicle tax, MOT where required, servicing and breakdown assistance. Daniel must carry out weekly safety checks, report warning lights and defects promptly, keep the car clean, use approved charging points and never drive under the influence or while dangerously tired. Business mileage is logged in the fleet app with destination and purpose.
## 4. Compliance, records and controls
Acme supplies a charging card for business charging. Daniel reimburses private charging identified by the monthly report at the applicable HMRC advisory electricity rate, or another rate notified lawfully. Parking, tolls and congestion charges are reimbursed for business journeys with receipts; fines, clamping charges and negligent damage are Daniel's responsibility unless Acme decides otherwise.
## 5. Term, ending and remedies
Daniel must report an accident, theft or damage to the police and fleet provider where appropriate, preserve evidence, not admit liability and complete the incident form within 24 hours. Acme may arrange a replacement car. It will report the taxable benefit in kind through P11D or payroll as required; Daniel is responsible for his income-tax position and the policy promises no particular tax result.
## 6. Liability and reservations
Acme may withdraw or change the allocation on four weeks' notice for role change, repeated breach, insurance restriction or fleet replacement, while preserving accrued employment and statutory rights. On suspension or termination, Daniel must return keys, charging equipment and the vehicle in a fair condition, allowing for ordinary wear. Acme may deduct an evidenced sum only where lawful and authorised.
## 7. Governing law and signatures
England and Wales law governs. Notices may be hand-delivered, posted or emailed to the HR contacts as separate service methods, and an email is received when recorded by the recipient's server on a business day. Daniel and Acme's HR director Laura Bennett sign on 1 August 2029 after the vehicle policy, insurance summary and BIK warning were supplied.
