# Product Certification Letter — Limited Batch Inspection

Date: 19 October 2026

Parties and reference: Issuer: Alder Textile Works Ltd, 9 Loom Court, Manchester M4 5PX. Recipient: Brook Retail Ltd, 20 River Lane, York YO1 8PX. Product AT-C1; batch EXAMPLE-261005; letter EXAMPLE-QA-1019.

## 1. Product and purpose of confirmation

We confirm the limited inspection results below for batch EXAMPLE-261005 of 500 natural-colour cotton shopping bags made on 5 October 2026, model AT-C1, nominal dimensions 38 by 42 cm. These are adult general-use bags, not children's toys, load-lifting equipment or food-contact containers. This manufacturer's commercial quality letter addresses purchase specification BR-07 revision 2 only. It is not an independent accredited certificate, regulator approval, UKCA or CE declaration, or assurance of compliance with every law.

## 2. Inspection method and results

On 12 October our quality team randomly selected 20 bags from five cartons. Internal method QA-04 revision 3 measured dimensions against a tolerance of plus or minus 1 cm and visually checked stitching and handle attachment. Each sample also held a 5 kg evenly distributed static load for 30 minutes on a supported test rig without seam separation. All 20 met these stated checks. Report EXAMPLE-QA-204 records measurements and photographs; this is a sampled internal test, not proof that every bag is defect-free.

## 3. Materials, limitations and safe use

The fabric supplier's batch declaration states 100% cotton; we have not independently analysed fibre composition, chemical residues, flammability or colourfastness. Supplier declaration EXAMPLE-FAB-88 is attached with its limitations. The inspection does not establish a general safe working load: the 5 kg test is not a product rating or permission for repeated heavy use. Keep bags away from young children and check handles before use. Do not advertise the goods as organic, fire-resistant, food-safe or independently certified on the strength of this letter.

## 4. Traceability and corrective action

Carton labels and dispatch records connect this batch to order EXAMPLE-BR-400, due for delivery on 26 October. Before market release, the responsible businesses must complete the applicable product risk assessment, labelling, instructions and legal-compliance checks; this letter does not replace them. Report defects or incidents promptly to quality@aldertextile.example.com, retaining the bag and batch label safely. We will investigate, preserve records and cooperate in justified withdrawal, recall and required authority notification. Do not continue selling goods known or suspected to be unsafe while the risk is assessed.

## 5. Authority and controlled copies

Signed on 19 October 2026 by Maya Chen, Quality Manager, authorised to confirm the recorded inspection on behalf of Alder Textile Works Ltd. The enclosed report and supplier declaration form part of this limited statement. It covers this identified batch and specification only; a material, design or production change requires fresh assessment. The recipient may share the complete unaltered letter with its compliance advisers and relevant authorities, but may not extract a misleading approval claim. All companies, reports and test results in this worked example are fictional.
